Attendees:
The meeting was called to order at 3:08 pm.
The minutes from the September 19, 2009, Board Meeting were read and a motion to accept was made and seconded that the minutes be approved.
The first area open for discussion was the issue of Open Invoices as of October 9, 2009. The following information was provided:
- There are 7 homes that are in Foreclosure, Bankruptcy or are in default and are currently in court proceedings ($7,293.95)
- There is 1 home that is current on Payment Plan ($3,369.83)
MGM has been instructed to continue with current policy and procedures already in place.
Went over the ‘To Do List’ of outstanding issues:
- On the ‘Balance Sheet’ why does the ‘Long Term Liabilities’ amount of $4,080.00 not equal the Pool Account of $4.100.05?
It was determined that this account is an interest baring account and that the banks stated we had $20.00 more than what we thought we had in the account. - For property XXXXXXXXXXXXXXXXX, MGM has been instructed to proceed with the attorney for 2009 Association Fee’s and yard appearance.
Moving forward attorney. - For property XXXXXXXXXXXXXXXXX, please send home owner a courtesy letter to remove the dead Pine tree and REPLACE it with a tree that is in accordance with the CC&R’s Section 10 (a).
Letter was sent. - For property XXXXXXXXXXXXXXXXX, Board is requesting a Warranty Deed search and provide information to the Board.
Warranty Deed was presented to the Board. - For property XXXXXXXXXXXXXXXXX, Board is requesting a Warranty Deed search and provide the information to the Board.
Warranty Deed was presented to the Board. - The Annual Home Owners Meeting has been tentatively scheduled for November 18, 2009. Please provide to the Board the following:
- Draft of announcement.
- Draft of Proxy
- Confirmation of the date November 18, 2009, from Sawtooth Middle School cafeteria.
- For the Annual Home Owners Meeting need additional information on the ‘Profit & Loss Budget vs Actual’ report. The
line item ‘Dues Collected’ needs to show those dues collected for 2008 Dues and that what was collected for 2009 Dues.
The Annual Home Owners Meeting date has been changed to November 19, 2009.
MGM Management to provide the requested forms and supporting documentation.
- The 2010 ‘Profit & Loss Budget vs Actual’ needs to reflect the same as requested
MGM Management is currently working on this request.
New ‘To Do List’ issues:
- On the Profit and Loss Report there are two interest amounts should these be combined?
Received the new contract from Treasure Valley Maintenance (pool cleaning Company) for the up coming year 2010. The Board reviewed the proposed contact. A motion was made and seconded to approve the contract from Treasure Valley Maintenance. All three Board member voted to accept and approve the contract for 2010.
The Board received a new pricing sheet from Trautman Landscaping Company for 2010. We are in a three year contract which stated that there would be a 3% increase for each year of the contract. That will NOT be the case this year. Also the Board has requested that there be ONE less Fertilization application for 2010 which will be a savings of $1,825.00. A new pricing sheet has been requested from Trautman Landscaping.
The Board was also informed that MGM Management will NOT be taking their 3% increase for 2010 that is stipulated in there contract with the Baldwin Park Home Owners Association.
Next Board Meeting will be held on October 11, 2009.
The meeting was adjourned at 4:35 pm.
